Locks, Key Distribution and Duplication

Policy
All keys to RIT facilities are considered Institute property. Building and room keys are issued and/or duplicated only by Facilities Management Services FMS.
Requests for locks, lock changes, and keys are submitted to Facilities Management Services after approval by the designated college or department area representative.
Requests for master or sub master keys require additional approval by the Public Safety Patrol Manager prior to submission of the request to Facilities Management Services.
The supervisor is responsible for ensuring that the Institute keys are returned by the employees who leave the Institute permanently or who transfer to another department. Should an employee quit without notice, the supervisor should make a serious attempt to obtain any keys retained by that employee. Keys may also be returned to the designated area representative, to Public Safety or to Facilities Management Services.
No keys to Institute facilities will be issued to casual employees. No keys other than appropriate dormitory or apartment keys are issued to students, except as appropriate for Student Public Safety Officers and Residential Safety Aides.
Procedure
Employee
- submits a request to the designated area representative
Area Representative
- if approved, submits a "Key Request Form" to Facilities Management Services (available at http://finweb.rit.edu/fms) or to Public Safety for a master or sub master key.
- Submits lock request on Project Request Form to Facilities Management Services. Finished keys will be delivered to the department area representative.
Employee
- signs a statement of responsibility for the key when the key is received.
